Quote to invoice, for landscapers

FROM QUOTE TO PAID, BUILT FOR LANDSCAPERS

Describe the garden the way you'd walk a customer round it, like a porcelain patio, a raised deck, new turf, sleepers and steps, and an itemised quote writes itself. Slabs, sub-base, timber, aggregate, waste away and your labour. Win it and the stages, the shopping list and the invoice all come off that same quote.

It knows what a garden actually takes

The digging and the taking away are usually a bigger number than the slabs. Describe the job and the excavation, the sub-base, the waste, the materials and the labour days all get itemised.

Patios & paving

Excavation, sub-base, laying course, slabs, jointing and edge restraint, priced by the square metre.

Decking & raised areas

Frame, posts, boards, fixings and balustrade, with the ground works underneath allowed for separately.

Turf, beds & planting

Topsoil, turf, membrane and edging, by the roll and by the tonne rather than as a round figure.

Sleepers, steps & retaining

Timber or block retaining, drainage behind it and the steps, itemised so the customer sees the build-up.

Landscapers: frequently asked questions

Does it allow for digging out and taking the waste away?

Yes, and as their own lines. Excavation, spoil off site and stone back in are usually the biggest costs in a garden and the easiest to underprice, so they're shown separately rather than absorbed into a rate per square metre.

Can I quote a whole garden in stages?

Yes. Set a payment schedule on the quote: a deposit for materials, a stage payment part way, the balance on completion. The customer agrees it up front. You then invoice against each stage one at a time, in the amounts they already said yes to.

The weather puts jobs back. Does that cause a problem?

No. Booking a won job into the diary is one tap and the dates are yours to change; nothing is locked to a date. The quote's price doesn't move because the job slipped a fortnight.

Can I quote on site with the customer stood there?

Yes, and it's the best way to use it. Speak the job into your phone in the garden, get an itemised price in under a minute, and send them the link before you leave. You'll see the moment they open it.
